The Front Desk Representative is the first point of contact for visitors, guests, and clients, providing exceptional customer service and ensuring a positive and welcoming experience. This role involves managing various administrative tasks, coordinating communication, and maintaining a tidy and organized reception area. Key Responsibilities:
• Greet and welcome visitors, guests, and clients in a friendly and professional manner.
• Provide accurate and relevant information about the organization’s products, services, and facilities.
• Answer and direct phone calls to appropriate personnel, taking messages when necessary.
• Manage incoming and outgoing mail, packages, and deliveries.
• Maintain a clean, organized, and inviting reception area.
• Assist with scheduling appointments and managing calendars for meetings and events.
• Coordinate with various departments to ensure smooth communication and effective guest handling.
• Register and check-in guests, confirming reservations and providing necessary documentation.
• Handle payment transactions and maintain accurate records of financial transactions.
• Maintain an up-to-date directory of personnel, departments, and extensions.
• Respond to inquiries and resolve issues promptly, escalating matters when required.
• Monitor and manage visitor access and security protocols.
• Assist with administrative tasks, such as data entry, filing, and photocopying.
• Adhere to company policies and procedures, ensuring compliance with confidentiality and privacy guidelines.
• Handle emergency situations calmly and efficiently, following established protocols.
• Collaborate with the facilities team to address maintenance and housekeeping needs.
• Keep track of office supplies and place orders as needed.

• High school diploma or equivalent (associate’s or bachelor’s degree is a plus).
• Excellent verbal and written communication skills.
• Strong interpersonal skills and a friendly, approachable demeanor.
• Proficiency in using office equipment, including multi-line phone systems and computer software (Microsoft Office Suite, email, and calendar applications).
• Organizational and multitasking abilities.
